Call for Applicants – CCAHA’s Philadelphia Stewardship Program

We are now accepting applications for our Philadelphia Stewardship Program, a grant-funded collections care initiative. The Philadelphia Stewardship Program is designed to assist nonprofit collecting institutions in achieving their preservation and conservation goals for their collections. Working with CCAHA staff, participating institutions learn about the preservation needs of their collections and buildings and develop long-range plans for addressing those needs. Institutions also have the opportunity to obtain assistance with emergency planning efforts or get support in updating, creating, or refining essential policy documents.


Previous stewardship participants are encouraged to apply.


The Stewardship Program is comprised of six tracks:

•Track I: Preservation Needs Assessment - Institutions accepted into this track will receive a preservation needs assessment, which is a general evaluation of the institution’s preservation needs and is the first step in developing a preservation plan for collections. Once completed, participants will be eligible to apply for an optional, competitive, 1:1 matching regrant to implement resulting preservation recommendations. $5,000 each year will be distributed among a number of awardees to be determined based on the applications.

•Track II: Preservation Planning - Track II participants will work with CCAHA staff to develop a long-range preservation plan that creates a course of action to help the institution meet its preservation goals. Once the preservation plans are completed and board-approved, the institution will have the opportunity to apply for an optional, competitive, 1:1 matching regrant to implement resulting preservation recommendations. $5,000 each year will be distributed among a number of awardees to be determined based on the applications.

•Track III: Risk Assessment and Emergency Planning - Knowing collections risks and having a plan for emergencies are vital for collecting institutions. In Track III, institutions will work with CCAHA to conduct a risk assessment and develop immediate emergency response guidelines. $5,000 each year will be distributed among a number of awardees to be determined based on the applications.

•Track IV: Collections Management Policies - Track IV participants will work with CCAHA on developing a set of written collections management policies or revising current policies.

•Track V: Digital Preservation Planning - Track V participants will work with CCAHA on developing a written digital preservation policy, which will provide a basic framework to guide all decision-making regarding the digitization of collections and subsequent use, management, and preservation of the resulting files.


New this year!

•Track VI: Create a Project - Institutional needs don't always align with Tracks I-V. In Track VI, participants will have an opportunity to develop their own preservation-related assessment or planning project. Example projects could include hybrids of existing tracks, formal Board presentations, and space planning projects.

•Mini-Assessments - Not quite ready for any Track? Institutions interested in addressing preservation aren't always prepared for a full needs assessment due to limited staff, collections being largely inaccessible to the public/researchers, a lack of intellectual control, or a variety of other reasons. Please fill out the inquiry form to be considered for a pre-Track I “mini-assessment.” Following a half-day site visit, participants will receive an informal report, consisting of an itemized list of top preservation needs. This assessment prepares participants for a comprehensive preservation needs assessment within the next 1-5 years.


Interested institutions must:

•Be located within Bucks, Camden, Chester, Delaware, Montgomery, or Philadelphia counties.

•Have a historic collection available to the public.

•Make a commitment to participate throughout the rest of 2018 with board approval upon project completion.

•Designate a staff member to manage the project.
